Executive Assistant (01060)

Description:

This position reports to the Director, University Trustee Relations and Assistant to the Chancellor. Under the direction of the supervisor, the incumbent serves as a support liaison for the Office of the Chancellor. The Office of the Chancellor includes the Chancellor, Chief of Staff and Corporate Secretary, General Counsel, and the Chief Academic Officer.

Responsibilities, duties, and activities may include but are not limited to the following.

  • Assists with planning and organizing materials for Board meetings, Trustee Training, and Trustee Summits (including receipt of materials, editing, and formatting items for printing; assembling, mailing, and distributing materials; preparing materials for posting to the Web; preparing name badges, table tents, and monitoring online registrations).
  • Complete p-card paperwork, solicit quotes from vendors, and secure proper approvals prior to placing orders.
  • Writing, formatting, and finalizing correspondence for signatures and distribution.
  • Develops and maintains accurate and current contact, e-mail, and mailing lists for the Office of the Chancellor.
  • Communicates with Board of Governors members by phone and/or e-mail for various reasons, including finding times available for meetings/conference calls, and verifying that members will participate in meetings/calls, etc.
  • Processes travel authorizations and reimbursements for members of the Board of Governors and assigned staff.
  • Maintains files of information (e.g., terms, appointment dates) about Board of Governors members and University Trustees
  • Handles travel requests for the Office of the Chancellor, including but not limited to: making travel arrangements, completing travel authorizations and reimbursements in STMS, preparing travel itineraries, folders, and informational notebooks for the Office of the Chancellor.

Minimum Qualifications

• Associate’s degree in a related area and/or at least three years of related experience, or equivalent combination of education and experience.
• Ability to master a wide range of relationships, tasks, and perspectives; be competent in a variety of Windows-based software, including MS Office (Word, Publisher, Excel, PowerPoint) and Adobe.
• Ability to work independently, as well as collaboratively.
• Exceptional proofreading, organizational, and problem-solving skills.
• Ability to work independently and prioritize work while meeting deadlines.

Preferred Requirements

• Previous State of Florida administrative support (especially in STMS and Pcard)

Hiring Range

Salary range $45,000 – $47,000, based on qualifications and experience.
