Description:
This position reports to the General Counsel and Corporate Secretary for the Board of Governors. Under the direction of the supervisor, the incumbent serves as the liaison between Board Members and the Board Office and works to establish and maintain strong, effective communication with university counterparts and works in collaboration with the university liaisons.
Responsibilities, duties, and activities may include but are not limited to the following.
- Plans, organizes, carries out, and supervises Board meetings (including receipt of materials, editing, and formatting items for printing; assembling, mailing, and distributing materials; preparing materials for posting to the Web).
- Makes hotel arrangements for Board members and assigned staff for Board of Governors meetings (i.e., locates hotel, makes arrangements for block of rooms).
- Travels to Board of Governors meetings to assist with logistics – arrangements with host campus for set-up and all meeting room requirements (e.g., table arrangements, microphones, web-cast, laptops, technical assistance, press table); distribution of materials; other requirements of meeting participants and presenters.
- Arranges for special meetings, committee meetings, and conference call meetings for the Board of Governors, as necessary, some of which may also involve the full-scale set-up requirements of a full Board meeting.
- Develops and maintains accurate and current contact, e-mail, and mailing lists for the supervisor.
- Communicates with Board of Governors members by phone and/or e-mail for various reasons, including finding times available for meetings/conference calls, and verifying that members will participate in meetings/calls, etc.

- Processes travel reimbursements for members of the Board of Governors and assigned staff. Maintains files of information (e.g., terms, appointment dates) about Board of Governors members.
- Provide direct customer service to SUS students, staff, and faculty, as well as parents/family members, other education sector staff members, Legislators and their staff, and members of the general public
- Providing administrative support to the Director of Trustee Relations.

Qualifications
• Bachelor’s degree in a related area and/or at least three years of related experience, or equivalent combination of education and experience.
• Experience working with public boards, committees or other similar collegial bodies; experience planning and organizing events; advanced ability to analyze and present data into succinct written reports, presentations, visuals, and other materials suitable for a board, legislative, or lay audience.
• Ability to master a wide range of relationships, tasks, and perspectives; be competent in a variety of Windows-based software including MS Office (Word, Publisher, Excel, PowerPoint) and Adobe. Ability to work independently, as well as collaboratively.
• Exceptional organizational and problem-solving skills
• Ability to work independently and prioritize work while meeting deadlines.
Preferred Requirements
• ONBOARD books or similar software
• Prior paralegal experience including but not limited to: including reviewing legal documents for proofreading purposes, ability to electronically file court documents, and managing court deadlines.

Hiring Range
Salary range $50,000 – $60,000, based on qualifications and experience.
